How to Extract Structured Fields from Text in Excel with AI

A single column of free-form text — addresses, reviews, email signatures, support tickets — hides several fields you actually want in columns. When the text is messy and varied, Text to Columns and Flash Fill give up. AI doesn't.

Method 1 — Text to Columns / Flash Fill

These work only when the structure is consistent — a fixed delimiter (Text to Columns) or a fixed position (Flash Fill). Real-world text isn't: one row has a flat number, the next doesn't; the city is in a different spot every time. You end up cleaning by hand.

Method 2 — the 1-click way (Tellsheet)

AI Extract to Columns

Select the text column, run AI Extract to Columns, and name the fields you want — street, city, ZIP or product, sentiment, complaint or name, company, intent. AI reads each cell and writes one clean column per field beside the source, understanding the meaning rather than matching a delimiter. It's the multi-column sibling of AI Smart Fill. Uses your own Anthropic API key; only the selected text is sent, nothing stored, no backend. Pairs with Split Text and Parse Address for the cases those handle deterministically.

Frequently asked questions

How do I extract fields from messy text?

Name the fields and AI Extract to Columns writes one column each — no delimiter needed.

How is it different from Split Text?

Split Text needs a consistent delimiter; this understands meaning across varied text.

Is my data sent anywhere?

Only the selected text, under your own API key; nothing is stored.

Can I extract just one field?

Yes — for a single field, AI Smart Fill is the simpler sibling.
